JJS Mechanical Services Ltd is a mechanical engineering firm delivering substantial projects across London and the surrounding areas.
Fairbourne initially worked with JJS to improve its website and the technology behind it. That relationship has since developed into a broader one, helping JJS solve practical technology challenges across its digital presence, business IT, specialist software and internal processes, while planning the next stage of its Microsoft 365 environment.
The situation
JJS had an established business, a strong portfolio of work and a growing reputation, but its website did not properly represent the scale or quality of the company.
The existing Webflow site had become difficult to justify for what the business actually needed. The content did not fully communicate JJS' capabilities, projects or wider contribution to the communities in which it works, while the technology behind the site added ongoing cost and complexity.
There were also wider technology challenges within the business. Specialist applications used by the team were placing demands on existing devices, with performance problems and crashes resulting in lost work. Administrative processes such as checking complex supplier invoices against agreed rates were also consuming significant amounts of time.
Alongside these immediate issues, JJS wanted to understand how its existing third-party Microsoft 365 environment could eventually be moved to a more directly managed Microsoft setup.
What needed to change
The immediate objective was not to add technology for its own sake.
The website needed to become a better reflection of JJS, while the infrastructure behind it needed to be more streamlined and proportionate to the needs of the business.
As the relationship developed, the same principle was applied to other technology challenges: understand what was getting in the way, identify the practical solution and improve it without introducing unnecessary complexity.

A website that better represents the business
Fairbourne worked with JJS to understand the business, the work it delivers and the story it wanted its website to tell.
That included learning about its service offering and major projects, as well as its involvement in the wider community, then developing the website content around the business JJS is today.
The site was rebuilt as a streamlined, responsive website designed to communicate JJS' capabilities clearly and give prospective clients confidence in the business.
Streamlined website infrastructure
The previous Webflow setup was replaced with a more focused approach better suited to the requirements of the site.
DNS was moved to Cloudflare and the domain configuration was tidied, including the appropriate redirects between the different versions of the website address.
The result is a leaner infrastructure with substantially lower ongoing platform costs and less technology to maintain unnecessarily.
Just as importantly, the solution was proportionate to what JJS actually needed rather than adding complexity simply because more complex platforms exist.
Technology that can handle the work
Some of the specialist software used by JJS, including Bluebeam, was performing poorly on existing devices. Machines were crashing during work, creating frustration and, more seriously, causing people to lose work they had already completed.
Fairbourne helped JJS move to higher-performance machines configured appropriately for the software and workloads the team actually uses.
The result is a more stable working environment, with staff able to use specialist applications more efficiently without the regular crashes and lost work they had previously experienced.
Turning days of invoice checking into hours
JJS receives supplier invoices that can contain hundreds, and sometimes thousands, of individual lines.
Those charges need to be checked against agreed supplier rate cards. Doing that manually was burdensome and time-consuming.
Fairbourne designed a practical AI-assisted reconciliation process that allows JJS to compare invoice data with its agreed rate cards and identify discrepancies for review.
A process that could previously take days can now be completed in a matter of hours, while keeping people involved in reviewing the results and deciding what action to take.
Planning the next stage of Microsoft 365
JJS currently uses Microsoft 365 through an existing third-party provider.
Fairbourne has carried out discovery and planning to understand the existing environment and establish a route towards a more directly managed Microsoft 365 setup.
The work is being planned around the needs and timing of the business rather than treating migration as an objective in itself.
The outcome
What began with the redevelopment of the JJS website has developed into a broader technology relationship.
JJS now has a digital presence that better reflects the scale and quality of its work, running on more streamlined and cost-effective infrastructure.
Its specialist applications are running on machines better suited to the job, reducing disruption and eliminating the regular loss of work caused by unstable devices.
A complex invoice-reconciliation process that previously required a significant time commitment can now be completed in a much shorter timespan, helping JJS identify potential discrepancies much more efficiently.
And with discovery completed around its Microsoft 365 environment, the business has a clearer route for the next stage of its technology as and when it is ready to make that move.
